Calls with parents
A 504 plan changes with the student, and many of the changes are small enough to settle on a call. Schools book a phone interpreter for the calls below.
After a plan starts, the coordinator or a teacher may call the parent to ask whether an accommodation is working. The interpreter interprets the questions and the parent's answers.
When a medicine, a doctor's instruction or a condition changes, the nurse may need to talk with the parent. The interpreter interprets the nurse's questions and the parent's answers, and the details can be added to the notes before the call.
Schools call parents to set the date of a 504 meeting or a plan review and to explain what will be discussed. Book only the time you expect to talk.
504 plan calls
The coordinator or the nurse picks up the phone when a question is small, such as whether an accommodation is working, whether a medicine changed or when the family can meet. The full plan meeting works better in a room or on video. A parent with no video connection, or a language with no interpreter near the school, is another reason to use the phone.

The parent dials in from home or work and says what the child needs. The coordinator calls from the school and runs the conversation, and a teacher, the nurse or the counselor joins when the call concerns their part of the plan. The interpreter dials in to the same number as everyone else, and speaks to both sides from the one line.
A call gives the parent no way to see which staff member is talking, so the interpreter takes one speaker at a time. The coordinator or another staff member says a few sentences and stops, and the interpreter gives them to the parent in the parent's language, in full. The parent's reply goes back the same way. The interpreter gives no opinion on the plan, gives no advice, and keeps the call private.
Coordinator and parent
A 504 call often has more than one staff member, such as the coordinator and the nurse. They all use the same number and access code, even when they call from different buildings. Add the names of the staff and what each will speak about to the booking notes, so the interpreter knows who is talking about what. Send the accommodation list or the health plan to the parent before the call.
On-site, video or phone
Phone is quick to set up, but nothing can be shown. Choose by whether the parent needs to see the plan.

Book an interpreter at the school when the whole team sits down with the parent for the plan meeting.
On-Site Interpretation for 504 Plan Meetings
Video is better when the plan or the nurse's health plan has to be shown on screen.
Video-Remote Interpretation for 504 Plan Meetings
Phone fits an update on one accommodation or a change in a health plan.

If you also need translations
Certified translations are ordered from the same account and arrive as a PDF in English, ready to send to the staff before the call.
Transcripts or diplomas from a school abroad, translated into English so the coordinator can read the student's record before the call.
Medical records, translated into English, so the nurse can refer to the diagnosis during the call.
Birth certificates from abroad can be translated into English and kept in the student's school file.

Can't find it here?
Everyone dials in to the number in the confirmation at the booked time, so the school does not call out to the parent. Once everyone is on the line, the interpreter can add another person if needed.
The interpreter is bound by an NDA, and the connection is encrypted. Calls are not recorded unless you ask.
You can cancel in writing. A cancellation more than seven days before the call gets a full refund, one between seven days and 48 hours before gets 75%, and a later one gets no refund.
The time you book sets the price, and the total shows before you pay. A check-in can be short, but book a little extra so the call does not end while the parent is still answering.
