Where talks are held

On-site interpreters for contract negotiations in company offices, law firms and hotel meeting rooms

A negotiation takes place wherever the teams agree to meet. Our interpreters go to the three places below, and each card says what to add to the booking notes.

Company offices

One company often hosts the round in its own conference room. Put the floor, the room and the name of the person who meets visitors in the booking notes.

Law firm conference rooms

When counsel leads the drafting, the round is often held at the firm. The interpreter reports to the firm's address, and the front desk can check the interpreter's name, which we send before the day.

Hotel meeting rooms

Teams that travel often rent a meeting room at a hotel. Tell us the hotel, the room name and the hours the room is reserved, and put the front desk contact in the booking notes.

In-person negotiations

What to know about in-person contract negotiations with an interpreter

When the interpreter comes in person

Negotiations are held in person when both teams can travel to one place, such as a company office, a law firm or a hotel. Companies choose an interpreter in the room for rounds where the teams sit at one table and work through the draft together. Everyone reaches the same address on the day, and the interpreter works there for the hours booked.

Who takes part

Around the table are the two negotiating teams, each with a lead who speaks for the company, and the attorneys who check the wording of the draft. The interpreter sits with both teams and speaks each statement in the other language. Each person speaks, pauses, and waits for the interpreter before the other side answers.

The interpreter's role

Both teams hear the negotiation in their own language, with every offer, condition and objection passed on in full. The interpreter gives figures and dates exactly as spoken and leaves nothing out, not even a refusal. They stay neutral between the companies, keep the talks confidential, and do not suggest terms, give opinions or explain the contract.

The draft at the table

Add the draft to your booking before the day, so the interpreter can read it ahead, and bring a printed copy to the table to follow the clause under discussion. If a team steps out for a private talk, the booked time keeps running, because the interpreter is reserved for the whole booking.

On-site, video or phone

Choosing between on-site, video and phone for a contract negotiation

An interpreter in the room suits rounds where both teams sit at one table. The other settings work for rounds that are shorter or held between offices.

How it works

How to book an on-site interpreter for a contract negotiation

  1. Enter your details and get your instant quote

Enter the date, start time, the address where the teams meet and the other side's language. The price for the booked hours shows right away.

  2. Place your order

Pay online to confirm. In your dashboard, add the draft and notes such as the room, the floor and who meets visitors at the door.

  3. Dispatcher runs and assigns an interpreter

Our dispatcher starts with interpreters near the address, assigns one with experience in business negotiations, and confirms the name to you.

  4. The interpreter arrives at your venue

The interpreter arrives at the address when the round begins and sits with the teams at the table. They stay for the hours you booked, breaks included.

What you receive

  • The interpreter's name, sent before the day so you can pass it to the hotel or the front desk.
  • Travel inside the interpreter's metro area already in the hourly rate, and a longer trip shown as a separate line.
  • A confirmation of the booking in your dashboard and by email, with one price for the booked hours.

Every file and session is covered by an NDA and sent over an encrypted connection. Clinical matters are handled in line with HIPAA.

FAQ

Questions about on-site interpreters for contract negotiations

The ones we hear most often, answered by our dispatch and project-management teams.

Can't find it here?

01Can the interpreter come to a hotel in another city?

Yes. Give us the hotel's address when you book, and we look for interpreters closest to it first. A trip beyond the interpreter's own metro area appears as a separate line in the quote.

02Do you interpret the signing meeting too?

Yes. A signing meeting is booked like any other session, and the interpreter interprets what is said at the table for the hours you booked.

03Can we ask for the same interpreter for the later rounds?

You can ask for it in the booking notes. A booking is for the service, not for a particular interpreter, so we take the request into account and assign them when they are available.

04How is an in-person negotiation priced?

The rate is by the hour, and the total shows before you pay. Book the hours the room is reserved for, because the interpreter is held for the whole booking.

05Which languages are easiest to get for an in-person round?

70 languages. Spanish, Mandarin, Korean, Russian and Arabic are the easiest to schedule near large cities. Rare languages, and rounds far from a large city, need more notice.

06What if the round is postponed?

Cancellation is in writing. You get a full refund when you cancel more than seven days before, 75% between seven days and 48 hours before, and no refund in the last 48 hours.

07Are your Thai interpreters certified?

Yes. Court-certified and medically credentialed Thai interpreters are assigned to legal and clinical matters — Federal Court Interpreter Certification, state court rosters, CCHI / NBCMI for medical. For community, educational and corporate settings we assign professionally trained interpreters matched to the subject.
