Clients should not assume Ukrainian speakers prefer Russian even when bilingual — since 2022 this can cause distress. We confirm preferred language at booking.

What to know about having an interpreter at your school

When the interpreter comes to school

Meetings between a school and a parent are usually held in the building, in a conference room or an office, and the interpreter comes to the same room. The interpreter sits with the parent, so staff and parent talk to each other directly and the parent can ask a question the moment it comes up. An interpreter in the room suits a meeting with several staff at the table, such as an IEP meeting. Public schools must arrange an interpreter so parents who speak another language can take part in IEP meetings.

Who takes part

The parent or guardian comes to talk about their child, and the teachers explain how the child is doing in class. In an IEP meeting, the school psychologist or another evaluator also explains the evaluation results. In a 504 meeting, the 504 coordinator leads the discussion, and a school nurse joins when a health condition is part of the plan. The interpreter sits next to the parent.

The interpreter's role

The interpreter's job is to make the conversation between the school and the parent as clear as it would be if both spoke the same language. What the staff say reaches the parent in full, and what the parent says reaches the staff in full. The interpreter is neutral, keeps the meeting confidential, and gives no advice and no opinion about the plan.

Check-in and turns

Every school has its own visitor steps. Put the front office check-in, the room and the parking in the booking notes, and pass the interpreter's name to the front office once you have it. During the meeting, staff speak a few sentences at a time and wait for the interpreter, so the parent can answer each part before the next one begins.

On-site, video or phone

Choosing between on-site, video and phone for school meetings

An interpreter in the building suits the meetings where the parent comes to school. Video and phone are for the parent who cannot come in.

  • On-site

Book the interpreter in the building when the parent is coming to school, whether for an enrollment appointment, a conference or an IEP meeting.

  • Video (VRI)

Video fits a parent who cannot come in, or a language for which no interpreter works near the school.

    Video-Remote Interpretation for Schools
  • Phone (OPI)

Phone fits a short follow-up with a parent who has no video, such as a call about a conference time.

How it works

How schools book an on-site interpreter

  1. Enter your details and get your instant quote

Enter the date, start time, your school's address, the family's language and the kind of meeting, such as an IEP meeting. The price for the booked hours shows right away.

  2. Place your order

Pay online to confirm. The booking opens in your dashboard, where you add notes such as the room, the front office check-in, the parking and the child's name.

  3. Dispatcher runs and assigns an interpreter

Our dispatcher looks for interpreters closest to your school first and assigns one who has interpreted school meetings before. You get the name before the day.

  4. The interpreter arrives at your venue

The interpreter arrives at your school and checks in as your notes describe. They then sit with the parent for the hours you booked.

What you receive

  • The interpreter's name, confirmed before the day so the front office can expect them.
  • Travel within the interpreter's metro area, already part of the hourly rate.
  • A confirmation for every meeting, in your dashboard and by email.

Every file and session is covered by an NDA and sent over an encrypted connection. Clinical matters are handled in line with HIPAA.

FAQ

Questions from schools about on-site interpreters

The ones we hear most often, answered by our dispatch and project-management teams.

Can't find it here?

01Can the same interpreter come to every meeting for a student?

You can ask for it in the booking notes. A booking is for the service, not for a particular interpreter, so we take the request into account and assign them when they are available.

02What if the family cancels or the meeting moves?

Cancellation terms are in writing. A cancellation more than seven days before the meeting gets a full refund. Between seven days and 48 hours before, the refund is 75%, and there is no refund in the last 48 hours.

03How is an on-site meeting priced?

Price is by the hour for the hours you book, and the total shows before you pay. Book the full length of the meeting, since the interpreter is held for all of it and the unused part is not refunded.

04Which languages can we book for a meeting at school?

70 languages. Spanish, Arabic, Haitian Creole and Vietnamese are among the easiest to schedule. Rare languages, such as Burmese or Pashto, and schools far from a large city need more notice.

05How far ahead should we book?

At least 48 to 72 hours ahead, and earlier if you can.

06Can two families who speak different languages share one interpreter?

No. One interpreter works in English and one other language, so each language is its own booking. Both bookings can use the same address and time.

07Are your Ukrainian interpreters certified?

Yes. Court-certified and medically credentialed Ukrainian interpreters are assigned to legal and clinical matters — Federal Court Interpreter Certification, state court rosters, CCHI / NBCMI for medical. For community, educational and corporate settings we assign professionally trained interpreters matched to the subject.
