Typical Spanish bookings
What gets decided
A 504 meeting ends with a written list of what the school will do for the student. The interpreter sits with the parent through each part of that list.
The team lists the changes in the general classroom, such as extra time on tests, a seat near the teacher or breaks during the day. The parent can say what has worked, and the interpreter interprets the list and the parent's reply.
When a condition is involved, the nurse explains who gives medicine, what to do in an emergency and who is told. The interpreter interprets the steps one at a time, so the parent knows exactly what the school will do.
The team decides how tests and homework change for the student, for example more time or a quiet room. The interpreter interprets each proposal and the parent's answer.
The team sets a time to look at the plan again. A parent who wants a change sooner can say so, and the interpreter interprets the request to the coordinator.
In-person 504 meetings
A 504 meeting is held at the school and is often shorter than an IEP meeting. The parent meets the coordinator and the teachers, and the interpreter takes the seat next to the parent, so both can look at the plan on the table. If the language has no interpreter near the school, the interpreter may travel from another area, and a trip beyond the interpreter's metro area is quoted as a separate line when you book.

The 504 coordinator runs the meeting and writes the plan. The parent says what the child needs, and the teachers describe the classroom. The school nurse joins when diabetes, allergies or seizures are part of the plan, and the counselor joins when worries or behavior come up. The interpreter sits beside the parent and interprets for everyone at the table.
Whatever the coordinator, a teacher or the nurse says, the interpreter puts into the parent's language in full, and the parent's replies go to the table in English. Short turns work best, so each speaker says a few sentences and pauses. The interpreter does not advise the parent, does not say whether a change is enough, and keeps the discussion private.
Accommodation list
Schools set their own rules for visitors, so put the entrance, the room, the check-in steps and the coordinator's name in the booking notes. Add them early, and the interpreter can go straight to the right door. If the nurse's plan will be on the table, add the condition to the notes too, so the interpreter can prepare the terms.
On-site, video or phone
On-site is the usual choice when the parent walks into the school for the meeting. For some meetings, video or phone is the better pick.

In person works best when the parent walks into the school and the nurse goes over the health plan on paper with the team.

Video works when the coordinator, the nurse or the parent joins from another place.

Phone suits a quick call to check how an accommodation is working.

FAQ
The ones we hear most often, answered by our dispatch and project-management teams.
Can't find it here?
No. One interpreter works for the whole meeting and interprets for every person at the table, including the nurse and the counselor.
Schools and agencies that receive federal funds must give language help to parents who need it. You can book it here, and the booking is in the name of the school.
Yes. We send interpreters in all 50 states, and outside the large metro areas we still send one, with more notice.
A 504 meeting can be short, so book the time the school sets aside. The total for those hours shows before you pay, and unused time is not refunded.
70 languages. Spanish, Arabic, Haitian Creole, Vietnamese and Portuguese are the easiest to schedule, and rare languages need more notice.
Yes. Court-certified and medically credentialed Spanish interpreters are assigned to legal and clinical matters — Federal Court Interpreter Certification, state court rosters, CCHI / NBCMI for medical. For community, educational and corporate settings we assign professionally trained interpreters matched to the subject.
Spanish varies meaningfully between Spain, Mexico, Central America, the Caribbean and the Southern Cone. We match linguists to the client's region and purpose — e.g. Mexican Spanish for U.S. courtrooms, neutral Latin-American Spanish for corporate L&D.
