How schools book

On-site interpreters for parent-teacher conferences, booked as a block of hours for each language

A conference day is many short conferences in a row. Schools book an interpreter for one in the ways below, and the notes to add differ for each.

One block for one language

Book one interpreter for the hours the conferences run, from the first slot to the last. The interpreter sits with each family who speaks that language, one after another, and stays until the block ends.

Blocks for two languages

A second language needs its own booking and its own interpreter. Both bookings can use the same school address and the same hours, so the two blocks run side by side.

One building at a time

An interpreter reports to one address. If your district holds conferences in two buildings on one date, book each school on its own, with its own address and hours.

The same interpreter again

Ask for the interpreter you had on the last conference day, and we assign them when they are available. We cannot promise a specific interpreter before the order, so make the request when you book.

In-person conferences

What to know about in-person parent-teacher conferences with an interpreter

When on-site is used

Parent-teacher conferences are usually held at school, in a classroom or an office, and on a conference day the families come to the building. An interpreter in the building suits a day with several families who share a language. The interpreter sits beside the parent in the room where the conference is held, so the parent can ask a question as soon as it comes up.

Who takes part

The teacher goes over how the child is doing in class, and the parent or guardian asks questions and tells the teacher what they see at home. Some schools invite the student to join. The interpreter sits next to the parent and moves from one family to the next as the conferences follow each other.

The interpreter's role

The interpreter's job is to put the parent in the same position as a parent who speaks the teacher's language. The teacher speaks and pauses, and the interpreter gives that part to the parent in full. The parent's answers and questions go back to the teacher the same way. The interpreter stays neutral, keeps each conference confidential and gives no advice or opinions about the child or the school.

Several conferences in one booking

A conference day is a row of short slots, usually about 15 to 20 minutes each, with a new family at every slot. Send the schedule with the family names, so the interpreter knows who comes next. A gap in the schedule is still booked time, because the interpreter is reserved for the whole booking and unused time is not refunded.

On-site, video or phone

Choosing between on-site, video and phone for parent-teacher conferences

An interpreter in the building suits a conference day when families come to school. Video and phone reach the parents who cannot come.

How it works

How to book an on-site interpreter for parent-teacher conferences

  1. Enter your details and get your instant quote

Enter the conference date, the hours the conferences run, the school address and the family language. The price for the booked hours shows right away.

  2. Place your order

Pay online to confirm. In your dashboard, add the schedule with the family names, and notes such as the room, the parking and where to check in.

  3. Dispatcher runs and assigns an interpreter

Our dispatcher looks for interpreters closest to your school first, assigns one who has interpreted school conferences before, and confirms the name to you.

  4. The interpreter arrives at your venue

The interpreter arrives at the start of the block, sits with the first family, and moves on to each family after it through the booked hours.

FAQ

Questions about on-site interpreters for parent-teacher conferences

The ones we hear most often, answered by our dispatch and project-management teams.

Can't find it here?

01Can conferences be in different classrooms?

Yes, as long as they are at the school address in your booking. Put the room for each time slot and the check-in steps in the booking notes, so the interpreter goes to the right door.

02What if conference day moves?

Cancellation is in writing. You get a full refund more than seven days before, 75% between seven days and 48 hours before, and no refund when the cancellation comes less than 48 hours before.

03How is a conference day priced?

It is priced by the hour for the block you book, and the total shows before you pay. Book from the first slot to the last, because the interpreter is reserved for the whole block.

04How far ahead should we book?

At least 48 to 72 hours ahead, and earlier if you can.

05Which languages can we book for a conference day?

70 languages. Spanish, Vietnamese, Haitian Creole and Russian are the easiest to schedule. Rare languages need more notice, and so do schools far from a large city.

06Are your Portuguese interpreters certified?

Yes. Court-certified and medically credentialed Portuguese interpreters are assigned to legal and clinical matters — Federal Court Interpreter Certification, state court rosters, CCHI / NBCMI for medical. For community, educational and corporate settings we assign professionally trained interpreters matched to the subject.

07Do you cover all Portuguese dialects?

Brazilian, European and PALOP Portuguese differ in pronunciation, grammar, vocabulary and legal terminology. We confirm the target variety at intake and match the translator or interpreter accordingly.
