In-person company meetings

What to know about on-site interpreters at a company

When the interpreter comes in person

Companies book an interpreter in person when the people who need one are in the room, for example at an orientation, a classroom training, a visit by a foreign delegation or a negotiation at the table. The interpreter reports to the address in the booking and interprets there. For facility assignments such as supplier audits, the interpreter can walk through the facility as the work requires. For a language with few interpreters nearby, book with more notice.

Who takes part

In the room are the managers, HR staff or trainer who speak for the company and explain the matter at hand, the employees who speak another language, and the suppliers or customers across the table. At an audit, the auditor interviews workers one by one, without managers present. The interpreter interprets for both sides.

The interpreter's role

The interpreter's job is to let everyone in the room understand each other as well as if one language were spoken. Each sentence is interpreted in full, in both directions, whether it is a price, a safety rule or a performance review. The interpreter takes no side, keeps what they hear confidential and gives no advice or opinions. In a training, the trainer pauses every few sentences, and the interpreter interprets that part before the next one begins.

Check-in and site rules

Put the check-in desk, the parking and any safety gear the site requires in the booking notes, so the interpreter arrives knowing what to bring. For a delegation or a training, add the schedule, the names and the slides, so the interpreter can prepare the terms before the day.

On-site, video or phone

Choosing between on-site, video and phone for company meetings

Book an interpreter in person when everyone is at one address. Video or phone can work in the cases below.

  • On-site

An interpreter in person suits orientations, classroom trainings, visits by a delegation and negotiations where both teams sit in one room.

  • Video (VRI)

Video works when the other side is at another site or in another country and the draft or the slides can be shown on screen.

    Video-Remote Interpretation for Corporations
  • Phone (OPI)

Phone suits a short supplier call or an HR check-in with an employee who has no video.

How it works

How companies book an on-site interpreter

  1. Enter your details and get your instant quote

Enter the date, start time, the address, the language and the kind of meeting. The price for the booked hours shows right away.

  2. Place your order

Pay online to confirm. In your dashboard, add notes such as the check-in desk, the parking, the agenda and the names of the people attending.

  3. Dispatcher runs and assigns an interpreter

Our dispatcher looks for interpreters closest to the address first, matches the kind of meeting by experience and confirms the name to you.

  4. The interpreter arrives at your venue

On the day, the interpreter reports to the check-in named in your notes and joins the people at the meeting. The interpreter interprets until the booked hours end.

What you receive

  • The interpreter's name before the day, to pass to your front desk.
  • Travel inside the interpreter's metro area is already in the hourly rate. A longer trip appears as a separate line when you book.
  • Your booking confirmation in the dashboard and by email, with the check-in notes you added.

Every file and session is covered by an NDA and sent over an encrypted connection. Clinical matters are handled in line with HIPAA.

FAQ

Questions about on-site interpreters for companies

The ones we hear most often, answered by our dispatch and project-management teams.

Can't find it here?

01Can the meeting be at a hotel or an event hall?

Yes. The interpreter reports to the one address in the booking, such as a hotel meeting room or a trade show hall. Put the check-in details in the notes.

02Can you send an interpreter to a site outside a big city?

Yes. We cover all 50 states, and outside large metro areas we still send an interpreter, with more notice.

03Can one interpreter cover a delegation that speaks two languages?

No. One booking covers English and one other language, so a delegation with two other languages needs two bookings. Both can share the same address.

04How is an on-site meeting priced?

The rate is hourly, and the total for the hours you book shows before you pay. Book more hours for a training, because the trainer pauses every few sentences, and unused time is not refunded.

05How far ahead should we book?

At least 48 to 72 hours ahead, and earlier if you can.

06Which languages do you cover on-site?

70 languages. Mandarin, Spanish, Korean, Vietnamese, Portuguese and Arabic are the easiest to schedule. Rare languages and sites far from a large city need more notice.

07Are your Portuguese interpreters certified?

Yes. Court-certified and medically credentialed Portuguese interpreters are assigned to legal and clinical matters — Federal Court Interpreter Certification, state court rosters, CCHI / NBCMI for medical. For community, educational and corporate settings we assign professionally trained interpreters matched to the subject.

08Do you cover all Portuguese dialects?

Brazilian, European and PALOP Portuguese differ in pronunciation, grammar, vocabulary and legal terminology. We confirm the target variety at intake and match the translator or interpreter accordingly.
