District meetings

What to know about on-site interpreters for a school district

When districts book in person

A district runs meetings in many places. Families register at an enrollment or welcome center, special education staff meet parents at the district office or at the student's school, and the board meets in a boardroom. The interpreter comes to the address on the booking, and at a meeting about one child they sit with the parent. A language access coordinator can book every one of these from one dashboard.

Who takes part

The people in the room depend on the meeting. At an enrollment center, staff go through the registration forms with the parent. In a special education meeting, the special education teacher, a district representative and the evaluator sit with the parent. At a discipline hearing, a hearing officer runs the session. The parent or guardian takes part in each one and answers the questions put to them, and the interpreter sits next to the parent.

The interpreter's role

The interpreter's job is to let the parent follow the meeting as closely as the English speakers in the room do. The parent hears all of what the staff say and the staff hear all of what the parent says, without summaries. The interpreter does not advise the family or explain district policy, and keeps everything they hear confidential.

Several schools, several bookings

Each booking has one address and one language. A day of meetings at two schools in two languages is four bookings, and all of them stay in one dashboard. Add the room, the check-in steps and the parking to each booking, so the interpreter reaches the right door of the right building. Inside each meeting, staff pause after every few sentences, and the parent replies once that part has been interpreted.

On-site, video or phone

Choosing between on-site, video and phone for district work

A district can mix settings from one dashboard, one booking at a time.

  • On-site

An interpreter at the address suits enrollment centers, evaluation sessions and hearings, where families come in and the meeting runs in person.

  • Video (VRI)

Video fits meetings where district staff, the school team and the parent are in different buildings.

    Video-Remote Interpretation for School Districts
  • Phone (OPI)

Phone fits scheduling calls and short follow-ups with families, when nothing needs to be shown.

How it works

How school districts book an on-site interpreter

  1. Enter your details and get your instant quote

Choose the meeting date and start time, add the address of the office or school, and name the family's language and the kind of meeting. Make a separate booking for each address and each language.

  2. Place your order

Pay online to confirm. Every booking opens in the same dashboard, where staff add the room, the check-in steps and the parking for that address.

  3. Dispatcher runs and assigns an interpreter

Our dispatcher finds an interpreter near each address who has interpreted school meetings before. You get every name before its day.

  4. The interpreter arrives at your venue

At each address, the interpreter arrives, checks in as the notes describe, and sits with the parent for the booked hours.

What you receive

  • The interpreter's name for every booking, confirmed before the day.
  • Travel inside the interpreter's metro area, part of the hourly rate.
  • A confirmation by email for each booking, and all of them in one dashboard.

Every file and session is covered by an NDA and sent over an encrypted connection. Clinical matters are handled in line with HIPAA.

FAQ

Questions from school districts about on-site interpreters

The ones we hear most often, answered by our dispatch and project-management teams.

Can't find it here?

01Can the interpreter go with staff from one site to the next?

No. The interpreter reports to one address and interprets there. If staff move on to another building, book that building separately.

02What if a hearing or an evaluation is rescheduled?

Cancellation is in writing. Cancel more than seven days before and you get a full refund, between seven days and 48 hours before you get 75% back, and in the last 48 hours there is no refund.

03How are long days of meetings priced?

Each booking is priced for its own hours, and the total shows before you pay. Count the whole block of a conference day or a hearing, because the interpreter is reserved for it and unused time is not refunded.

04How far ahead should we book?

At least 48 to 72 hours ahead, and earlier if you can.

05Which languages can a district book in person?

70 languages. Spanish, Mandarin, Arabic, Vietnamese and Haitian Creole schedule most easily. For rare languages, such as Burmese or Pashto, book as soon as the date is set.

06Are your Portuguese interpreters certified?

Yes. Court-certified and medically credentialed Portuguese interpreters are assigned to legal and clinical matters — Federal Court Interpreter Certification, state court rosters, CCHI / NBCMI for medical. For community, educational and corporate settings we assign professionally trained interpreters matched to the subject.

07Do you cover all Portuguese dialects?

Brazilian, European and PALOP Portuguese differ in pronunciation, grammar, vocabulary and legal terminology. We confirm the target variety at intake and match the translator or interpreter accordingly.
