Typical Chinese bookings
Where the conference is held
The court decides where the conference takes place. Here are the places our interpreters work, and what to tell us about each one when you book.
Some judges hold the conference in chambers, the room where the judge works. Add the room number and the judge's name to the booking notes.
A conference may be held in a conference room in the courthouse. Tell us the courthouse and the room, and add any check-in steps the court has told you about.
In a smaller county, the nearest interpreter for the language may live in another city. We still send one, with more notice, and a longer trip is quoted as a separate line when you book.
In-person conferences
A court orders a settlement conference and usually holds it at the courthouse, in chambers or in a conference room. A judge or magistrate talks with the parties and their attorneys to see whether the case can end by agreement. An interpreter is booked in person when the party who speaks another language attends in the room, so they can follow the judge, the other side and their own attorney in one place.

The judge, magistrate or settlement officer runs the conference, first with everyone together and then with each side alone. The parties come with their attorneys, and the people who can approve a settlement attend as well, such as an insurance representative. The interpreter sits beside the party who speaks another language.
In the joint talk, the interpreter interprets the judge's questions and the other side's position for the party, and the party's answers for the court. In the private session, the interpreter works between the judge and the party, so the party hears the judge's view of the case in their own language. The attorney's explanation of an offer to the client afterward is interpreted in full too. The interpreter is neutral, keeps it all confidential and gives no opinion on whether to accept.
In the joint talk
In the private session
The court's notice names the date, the judge and the room. Add those to the booking notes with the case name and the names of the parties and the insurer. The interpreter reads the notes before the conference, so the names and the terms are not new in the room.
On-site, video or phone
The court's order or notice says how the conference is held. Each setting fits the situations below.

An interpreter in person suits a conference held at the courthouse, and a party who has never used a video call.

Video works when the court holds the conference online and every participant can join from a quiet place.
Video-Remote Interpretation for Settlement Conferences
Phone suits a call with your client before the conference, to go over the offers and what to expect.

What you receive
Every file and session is covered by an NDA and sent over an encrypted connection. Clinical matters are handled in line with HIPAA.
If you also need translations
Certified translations come from the same account, delivered as a PDF you can print and bring to the courthouse.
Contracts, affidavits and text messages in the party's language, translated so the judge can read them at the conference.
Medical records from abroad, translated for injury cases so the judge sees the treatment in English.
Financial statements and agreements, translated so the figures can be checked at the table.
FAQ
The ones we hear most often, answered by our dispatch and project-management teams.
Can't find it here?
The court decides who sits in chambers. Tell the court that an interpreter is attending with the party, and give them the name from our confirmation.
A court may appoint its own interpreter for what is said on the record. You book one for your own communication with your attorney, and where the court lets you bring one, so tell us the court and the type of conference.
The rate is hourly, and the total for the hours you book is shown before you pay. The judge meets each side in turn, so there are stretches of waiting, and the interpreter is reserved for the whole booking. Unused time is not refunded.
Name the interpreter in the booking notes. We book the service rather than a particular person, so we take the request into account and assign them when they are available.
At least 48 to 72 hours ahead, and earlier if you can.
70 languages. Spanish, Mandarin, Vietnamese, Korean and Arabic are the easiest to schedule. Rare languages need more notice, and so do courthouses far from a large city.
Yes. Court-certified and medically credentialed Chinese interpreters are assigned to legal and clinical matters — Federal Court Interpreter Certification, state court rosters, CCHI / NBCMI for medical. For community, educational and corporate settings we assign professionally trained interpreters matched to the subject.
Mandarin speakers from mainland China generally prefer Simplified characters; speakers from Taiwan and older Hong Kong / overseas communities prefer Traditional. For interpretation this matters only for written handouts.
