Meetings by video

What to know about video interpreters at a social services agency

When video is used

Agencies use video when the people at a meeting work in different offices or cannot easily be in one room, for example at a family team meeting. A therapist who holds sessions on video uses their own platform, and the interpreter joins it. The interpreter joins the meeting link as a guest, so no travel is needed. Video is also chosen when no interpreter for the client's language works near the agency.

Who takes part

A caseworker or an eligibility worker hosts the link. The client or the parent joins from their own place, and at a family team meeting other members of the team and relatives join as well. In a teletherapy session, the therapist hosts and the client joins. The interpreter joins as a guest.

The interpreter's role

On video, the interpreter's job is to let the client follow the meeting as closely as the staff do. Every question, form and plan is interpreted in full, in both directions, and the client's words reach the caseworker as they were said. The interpreter stays neutral, keeps the session confidential, and does not give advice or explain the agency's decisions.

Several people on one link

Forms and proof documents are shown on screen, so add their names to the booking notes. A family team meeting has more people, and the caseworker can ask each of them to wait until the interpreter has finished before the next person speaks. Add the names of the people who will join, so the interpreter knows who is speaking.

On-site, video or phone

Choosing between video, on-site and phone for social services

Video suits meetings with several people or a screen to share. A caseworker can choose another setting in the cases below.

How it works

How social services agencies book a video interpreter

  1. Enter your details and get your instant quote

Choose the date and start time, name the platform, the client's language and the kind of meeting. The price for the booked hours is shown at once.

  2. Place your order

Pay online to confirm. The booking opens in your dashboard, where the caseworker adds the meeting link, and notes such as the case context and the people who will join.

  3. Dispatcher runs and assigns an interpreter

Our dispatcher assigns an interpreter who has interpreted social services appointments before, or a medically credentialed interpreter for counseling, and confirms the name before the session.

  4. Join your session

The interpreter joins the link as a guest at the booked time and stays for the booked hours.

What you receive

  • The interpreter's name, confirmed before the session.
  • Your meeting link kept in the booking, or a Texliff room link that opens in the browser.
  • A confirmation in your dashboard and by email for each session.

Every file and session is covered by an NDA and sent over an encrypted connection. Clinical matters are handled in line with HIPAA.

FAQ

Questions from social services agencies about video interpreters

The ones we hear most often, answered by our dispatch and project-management teams.

Can't find it here?

01Can the interpreter join our counseling platform?

Yes. Add the link from Zoom, Teams or Google Meet, and the interpreter joins as a guest. If your platform cannot add a guest, we create a Texliff room link and add it to the booking.

02Can one meeting use two languages?

Yes, with two bookings, one per language, on the same link. Each interpreter works between English and one other language.

03Is the session recorded?

Not unless you ask. Every session is covered by an NDA, and the connection is encrypted.

04What if the client has no internet?

Book the whole meeting by phone instead. Everyone dials in to the number in your confirmation, and the client needs no app or link.

05How is a team meeting priced?

Priced per hour booked, with the total shown at checkout. A family team meeting with many speakers runs long, so book the full time on the invitation, because unused time is not refunded.

06Which languages can a caseworker book by video?

70 languages. Spanish, Arabic, Haitian Creole, Vietnamese, Russian and Portuguese are among the easiest to schedule by video, and rare languages, such as Burmese or Pashto, need more notice.

07Are your Punjabi interpreters certified?

Yes. Court-certified and medically credentialed Punjabi interpreters are assigned to legal and clinical matters — Federal Court Interpreter Certification, state court rosters, CCHI / NBCMI for medical. For community, educational and corporate settings we assign professionally trained interpreters matched to the subject.
