Agency calls

What to know about phone interpreters at a social services agency

When phone is used

Eligibility interviews are often held by phone, and caseworkers also call clients to follow up, to collect documents or to set the next visit. A call is booked ahead for a set time. The client needs only a phone, with no app and no link. Phone also works for a language that nobody near the agency speaks, because the interpreter dials in from wherever they work.

Who is on the line

A caseworker or an eligibility worker places the call. The client or the parent answers, and at a counseling check-in a counselor takes the caseworker's place. A family member can join if they are on the phone as well. The interpreter dials in, so everyone hears each other over one line.

The interpreter's role

Over the phone, the interpreter's job is to give the client the whole call, not a short version of it. The interpreter waits until the caseworker has finished a part, then interprets all of it, and brings the client's reply back the same way. The interpreter stays neutral, keeps the call confidential, and does not give advice or explain the agency's decisions.

On a call

Before the call

Each confirmation includes the dial-in number and the access code. Nothing can be shown on a call, so a form the client has to fill in must reach them before the call, or the caseworker reads it out. A call that may run long needs a longer booking, because the interpreter is reserved for the booked time and no more.

Sou plas, pa videyo oswa pa telefòn

Choosing between phone, video and on-site for social services

Phone reaches a client wherever they are, but nobody can see a form or a room. Choose by what the meeting needs.

Ki jan li fonksyone

How social services agencies book a phone interpreter

  1. Antre detay yo epi resevwa pri a sou plas

Choose the call date and start time, and name the client's language and the reason for the call. The price for the booked time is shown at once.

  2. Pase kòmand ou

Pay online to confirm. The booking opens in your dashboard with a dial-in number and an access code to share with the client, and notes such as the case context.

  3. Sistèm dispatch la fonksyone epi li bay yon entèprèt

Our dispatcher assigns an interpreter who has interpreted social services appointments before, or a medically credentialed interpreter for counseling, and confirms the name before the call.

  4. Antre nan sesyon ou

At the booked time, the caseworker and the client dial in with the number and the code, and the interpreter interprets the call.

Sa ou resevwa

  • The interpreter's name, confirmed before the call.
  • A dial-in number and an access code to share with the client.
  • A confirmation in your dashboard and by email, with the dial-in details.

Chak fichye ak chak sesyon kouvri anba yon NDA epi voye sou yon koneksyon chifre. Dosye klinik yo trete an akò ak HIPAA.

Si ou bezwen tradiksyon tou

If you also need documents translated before a client call

Nothing can be shown during a call, so translate documents in another language into English and send them beforehand.

FAQ

Questions from social services agencies about phone interpreters

Sa yo nou tande pi souvan, reponn pa ekip dispatch ak jesyon pwojè nou yo.

Ou pa jwenn sa w ap chèche a?

01What should the client know before the call?

The booked time, the dial-in number and the access code, and that an interpreter will be on the line. The caseworker passes these on when the call is set up.

02Can the interpreter add a relative to the call?

Yes. A relative can be added as a third party once everyone is on the line.

03Can we ask for the same interpreter for a client's calls?

Name the interpreter in the booking notes. We book the service rather than a particular person, so we take the request into account and assign them when they are available.

04Is a family team meeting better by phone or by video?

Video is better, because several people speak and plans or forms are often shown on screen. Phone suits one caseworker talking to one client. A call that turns out to need video can be changed to a video session, subject to the interpreter's availability.

05How is a check-in call priced?

Time booked sets the price, and the total shows before you pay. A check-in that ends early is not refunded for the unused time, because the interpreter is reserved for the whole booking.

06Which languages can a caseworker book by phone?

70 languages. Spanish, Arabic, Haitian Creole, Vietnamese and Russian are the easiest to schedule by phone. Languages such as Burmese or Pashto are rare and need more notice.

07Èske entèprèt Dari Texliff yo sètifye?

Wi. Entèprèt dari ki sètifye pou tribinal epi ki gen kalifikasyon medikal yo asiyen nan zafè legal ak klinik — Sètifikasyon Entèprèt Tribinal Federal, lis tribinal eta yo, CCHI / NBCMI pou medikal. Pou anviwònman kominote, edikasyon ak antrepriz nou bay entèprèt ki resevwa fòmasyon pwofesyonèl ki matche ak sijè a.
