Where hearings are held

On-site interpreters for administrative hearings at agency hearing rooms, hearing offices and board offices

Copy the address from the notice of hearing into the booking. Our interpreters go to the places below for agency hearings, and each card says what to add.

Agency hearing rooms

Many agencies hold hearings in a hearing room at their own office. Add the room number and the check-in steps from the notice to the booking, so the interpreter arrives knowing where to report.

Hearing offices

Some agencies run separate hearing offices for appeals, such as Social Security disability hearings. Give us the office address, and add the claim number and the names of the providers to the notes.

Board and district offices

Licensing boards, school districts and housing authorities may hold their hearings at their own offices. Tell us the board, the district or the authority, and the license or case type, so the interpreter knows the terms.

In-person hearings

What to know about agency hearings with an interpreter in the room

Hearings held in person

Agency hearings can be held in person at the agency's hearing room, with the claimant, the representative and the hearing officer in one place. The interpreter sits with the claimant, so everything said in the room is interpreted in full. Book on-site when the notice calls the claimant to attend in person. If few interpreters for the language live near the hearing office, the interpreter may travel from another city.

Who takes part

In the hearing room, the hearing officer or administrative law judge presides and decides the case. The claimant, or the applicant, speaks and answers questions, and a representative or an attorney may sit with them. A person from the agency or the employer presents the other side. The interpreter sits with the claimant.

The interpreter's role

The interpreter interprets what each person says, in full and in both directions, so the claimant takes part in the hearing the way an English speaker would. Answers are interpreted in the first person, and nothing is left out or softened. The interpreter takes no side, does not tell the claimant how to answer, and keeps what they hear confidential.

Your papersTranslatedOdyans

Documents for the hearing

Medical records, letters and other papers in another language often decide an agency hearing. Certified English translations of them come from the same account, delivered as a PDF, so they can reach the agency before the hearing and the hearing officer reads the same pages as the claimant.

Sou plas, pa videyo oswa pa telefòn

Choosing between on-site, video and phone for an agency hearing

Choose by how the agency holds the hearing and by what the claimant needs.

  • Sou plas

An interpreter in the room suits a hearing the notice schedules in person, with paper documents to go through.

  • Videyo (VRI)

Video works when the agency holds the hearing on a link and the claimant has a quiet place and a connection.

Entèpretasyon a distans pa videyo pou odyans
  • Telefòn (OPI)

Phone suits a hearing the notice says is held by telephone, and unemployment hearings are often held that way.

FAQ

Questions about on-site interpreters for agency hearings

Sa yo nou tande pi souvan, reponn pa ekip dispatch ak jesyon pwojè nou yo.

Ou pa jwenn sa w ap chèche a?

01Where does the interpreter report when the hearing is at a hearing office?

At the address on the notice. Add the room number to the booking, and the interpreter's name reaches you before the day, so you can pass it on if the front desk asks for it.

02Can the interpreter read my documents before the hearing?

Yes. Add statements, medical records and letters to the booking notes in your dashboard, and the interpreter reads the names and terms before the day.

03How is an on-site agency hearing priced?

The total for the hours you book shows before you pay. Add some time for the wait before the case is called, since the hours you book are the hours you pay for.

04Can the same interpreter come to a second hearing date?

Name the interpreter in the booking notes. We book the service rather than a particular person, so we take the request into account and assign them when they are available.

05How far ahead should we book?

At least 48 to 72 hours ahead, and earlier if you can.

06Which languages do you send interpreters for at agency hearings?

70 languages. Spanish, Vietnamese, Mandarin and Korean are the easiest to schedule, and rare languages, such as Burmese or Pashto, need more notice.

07Èske entèprèt Kwowat Texliff yo sètifye?

Wi. Entèprèt kwowat ki sètifye pou tribinal epi ki gen kalifikasyon medikal yo asiyen nan zafè legal ak klinik — Sètifikasyon Entèprèt Tribinal Federal, lis tribinal eta yo, CCHI / NBCMI pou medikal. Pou anviwònman kominote, edikasyon ak antrepriz nou bay entèprèt ki resevwa fòmasyon pwofesyonèl ki matche ak sijè a.
