Claims by phone

What to know about working with phone interpreters at an insurance company

When phone is used

Phone is used when a claim step needs no one to see a place, a document or an injury. A first report, a status update and a recorded statement can all be done by phone, and a claimant may have a phone but no video. The interpreter dials in from anywhere in the US, so a language with no interpreter near the claimant is still possible.

Who is on the line

The adjuster or investigator dials in and asks the questions. The claimant or policyholder answers in their own language. For an examination intake call, the examiner's office takes the history. The interpreter is on the line as well, and can add a third party, such as a witness or a public adjuster, once everyone has dialed in.

The interpreter's role

The interpreter's job is to make the call as clear to the claimant as it is to the adjuster. Because nobody can see who is speaking, each person speaks in turn and pauses for the interpreter. Every question and answer is interpreted in full and in the first person. The interpreter works for neither the insurer nor the claimant, keeps the call confidential and does not comment on the claim.

On a recorded line

AdjusterInterpretedClaimantInterpreted

Recorded lines

If the adjuster records the call, the interpreter is named at the start of the recording and interprets in the first person, so the recording holds the claimant's own words. Add the claim number and the names of everyone who will join to the booking notes, because nothing can be shown on screen during a call.

Sou plas, pa videyo oswa pa telefòn

Choosing between phone, video and on-site for claims work

Phone needs only a phone, and nothing can be shown on it. Choose by whether the call has to show anything.

Ki jan li fonksyone

How insurers book a phone interpreter

  1. Antre detay yo epi resevwa pri a sou plas

Enter the date, start time, the claimant's language and the kind of call. The price for the booked time shows right away.

  2. Pase kòmand ou

Pay online to confirm. The booking opens in the dashboard with a dial-in number and an access code to share, and you can add the claim number there.

  3. Sistèm dispatch la fonksyone epi li bay yon entèprèt

Our dispatcher assigns an interpreter matched to the call and confirms the name to you.

  4. Antre nan sesyon ou

At the booked time, everyone dials in. The interpreter adds a third party if the call needs one, and stays for the booked time.

Sa ou resevwa

  • The name of the interpreter, sent before the call.
  • A dial-in number and access code kept in the project, to share with anyone who joins.
  • A change to video if the call needs documents on screen, subject to the interpreter's availability.

Chak fichye ak chak sesyon kouvri anba yon NDA epi voye sou yon koneksyon chifre. Dosye klinik yo trete an akò ak HIPAA.

Si ou bezwen tradiksyon tou

If you also need documents translated before the call

Documents cannot be shared on screen during a phone call, so translate the ones in another language and send them to everyone first.

FAQ

Questions from insurers about phone interpreters

Sa yo nou tande pi souvan, reponn pa ekip dispatch ak jesyon pwojè nou yo.

Ou pa jwenn sa w ap chèche a?

01Can the same interpreter take the follow-up call on a claim?

Name the interpreter in the booking notes. We book the service rather than a particular person, so we take the request into account and assign them when they are available.

02How should we prepare a claimant for a call with an interpreter?

Ask the claimant to speak in short parts and pause for the interpreter. Send the number and access code ahead, with the time of the call.

03Does the claimant need a smartphone?

No. A basic phone is enough, because the confirmation lists the number to call and the code to enter.

04Can a workers' compensation hearing be interpreted by phone?

Each state board and each judge decides whether a hearing may be held by phone. Tell us the state, the board and the type of hearing when you book.

05How is a phone call priced?

By the time you book, and the total shows before you pay. Book a little longer than you expect for a recorded statement, because every question and answer is said twice.

06Which languages do you interpret by phone for claims?

70 languages, into and out of English. Tagalog, Portuguese, French, Haitian Creole and Spanish are among the easiest to schedule, and rare languages need more notice.

07Èske entèprèt Vyetnamyen Texliff yo sètifye?

Wi. Entèprèt vyetnamyen ki sètifye pou tribinal epi ki gen kalifikasyon medikal yo asiyen nan zafè legal ak klinik — Sètifikasyon Entèprèt Tribinal Federal, lis tribinal eta yo, CCHI / NBCMI pou medikal. Pou anviwònman kominote, edikasyon ak antrepriz nou bay entèprèt ki resevwa fòmasyon pwofesyonèl ki matche ak sijè a.

08Èske Texliff kouvri tout dyalèk Vyetnamyen yo?

Sid Vyetnamyen (Saigon) pi komen nan kominote ameriken ki andeyò DMV; Northern Vietnamese yo itilize nan gouvènman an ak medya fòmèl. Nou matche dyalèk ak rejyon orijin moun ki pale a.
