Video school meetings

What to know about video interpreters for school meetings

When video is used

Video is used when the parent and the school team are in different places, or when no interpreter for the family's language works near the school. The school sends one meeting link, the parent joins it, and the interpreter joins the same link as a guest from anywhere in the US. Staff can show a plan or a report on screen while it is interpreted.

Who takes part

The parent or guardian joins to hear about their child and to ask questions. In an IEP meeting, the special education teacher and a general education teacher report on the child's progress, a district representative joins for the district, and the school psychologist or another evaluator explains the evaluation results. A 504 meeting is led by the 504 coordinator. The student sometimes joins too, and the interpreter joins as one more participant.

The interpreter's role

The interpreter's job is to let the parent follow the meeting as easily as the staff do. Everything said on the call is interpreted in full, in both directions, including the parent's questions to the teachers, so nothing is left out or shortened. The interpreter takes no side, keeps what they hear confidential, and does not advise or comment.

Before the meeting

Put the draft plan, the evaluation report or the agenda in the booking notes, with the child's name, so the interpreter has read the terms before the meeting starts. On the call, teachers report in short parts and wait for the interpreter, so the parent hears each part before asking a question.

Sou plas, pa videyo oswa pa telefòn

Choosing between video, on-site and phone for school meetings

Video keeps a meeting going when people are in different places. Another setting suits the meetings below better.

  • Sou plas

Book an interpreter in the building when the family comes to school and the meeting has many people at the table, such as enrollment or an evaluation meeting.

    Entèpretasyon sou plas pou lekòl
  • Videyo (VRI)

Video fits an IEP or 504 meeting where the parent and some of the team join from home or from other buildings, and a plan is shown on screen.

  • Telefòn (OPI)

Phone fits a short call with a parent who has no video, when nothing needs to be shown.

FAQ

Questions from schools about video interpreters

Sa yo nou tande pi souvan, reponn pa ekip dispatch ak jesyon pwojè nou yo.

Ou pa jwenn sa w ap chèche a?

01Which platforms can the interpreter join?

Zoom, Microsoft Teams, Google Meet and the Texliff room. Add the link to the booking, and the interpreter joins it as a guest.

02Does the parent need to install anything?

Not for the Texliff room, which opens in the browser without installing anything. On Zoom, Teams or Google Meet, the parent joins as they would for any call on that platform.

03Is the meeting recorded?

Only if you ask us to. Every session is under an NDA, and the connection is encrypted.

04What if the parent has no video?

Book a phone interpreter for that meeting. Staff and the parent dial in to the number in your confirmation.

05How is a video meeting priced?

You pay for the hours you book, and the total is shown first. Reserve the time the meeting usually takes plus some room, because unused time is not refunded.

06Which languages can we book for a video meeting?

70 languages. Spanish, Mandarin, Arabic, Portuguese and Haitian Creole are easy to schedule, and interpreters join from anywhere in the US. Rare languages need more notice.

07Èske entèprèt Koreyen Texliff yo sètifye?

Wi. Entèprèt koreyen ki sètifye pou tribinal epi ki gen kalifikasyon medikal yo asiyen nan zafè legal ak klinik — Sètifikasyon Entèprèt Tribinal Federal, lis tribinal eta yo, CCHI / NBCMI pou medikal. Pou anviwònman kominote, edikasyon ak antrepriz nou bay entèprèt ki resevwa fòmasyon pwofesyonèl ki matche ak sijè a.
