Agencies by video

What to know about video interpreters at a government agency

When video is used

Agencies use video when staff, the resident and the interpreter cannot easily be in one room. A department with offices in several cities can meet a resident through another office, and a hearing officer can take a hearing remotely when the agency allows it. Video is also chosen when no interpreter for the language works near the agency. Staff add one meeting link to the booking, and the interpreter joins it as a guest.

Who takes part

A hearing officer or a staff member hosts the link and runs the session. At a hearing, the agency representative joins as well, and at an interview a licensing staff member talks through the application. A clinician joins a public health visit. The resident joins from their own location, and the interpreter joins as a guest.

The interpreter's role

On video, the interpreter's job is to keep the session as clear as it would be if everyone shared a language. The resident hears every statement from the officer or the staff member, and staff hear every reply, interpreted in full and in both directions. The interpreter stays neutral, keeps the session confidential, and does not add explanations of the agency's rules or decisions.

Public meetings online

A public meeting held online has one language per interpreter, so a meeting in two languages needs two bookings that share the same link. The speaker pauses after a few sentences, and the interpreter then interprets that part, so the meeting runs longer than it would in English. Add the agenda and the speakers' names to the booking notes.

Sou plas, pa videyo oswa pa telefòn

Choosing between video, on-site and phone for agency sessions

Video suits sessions where people are in different places and something is shown on screen. Another setting is better in the cases below.

  • Sou plas

Book an interpreter at the address for a resident who comes in anyway, such as a counter visit, an inspection or an exam in the office.

Entèpretasyon sou plas pou ajans gouvènman
  • Videyo (VRI)

Video fits sessions where the officer, staff and the resident are in different places, or where forms and evidence are shown on screen.

  • Telefòn (OPI)

Phone fits a short call, such as collecting a missing document or setting a time, when nothing has to be seen.

Ki jan li fonksyone

How agencies book a video interpreter

  1. Antre detay yo epi resevwa pri a sou plas

Enter the date and start time, the platform, the resident's language and the kind of session. The price for the booked hours shows right away.

  2. Pase kòmand ou

Pay online to confirm. The booking opens in your dashboard, where staff add the meeting link, or ask us to create a Texliff room link, and notes such as the file number.

  3. Sistèm dispatch la fonksyone epi li bay yon entèprèt

Our dispatcher assigns the interpreter and confirms the name to you before the session starts. A hearing gets a court-certified interpreter, and a health visit gets a medically credentialed one.

  4. Antre nan sesyon ou

The interpreter joins the link as a guest at the booked time and interprets for the hours you booked.

Sa ou resevwa

  • The interpreter's name, confirmed before the session.
  • Your meeting link kept in the booking, or a Texliff room link that opens in the browser with nothing to install.
  • A confirmation in your dashboard and by email for every booking.

Chak fichye ak chak sesyon kouvri anba yon NDA epi voye sou yon koneksyon chifre. Dosye klinik yo trete an akò ak HIPAA.

FAQ

Questions from agencies about video interpreters

Sa yo nou tande pi souvan, reponn pa ekip dispatch ak jesyon pwojè nou yo.

Ou pa jwenn sa w ap chèche a?

01Can the interpreter join our agency's own meeting platform?

Yes. The interpreter joins the link you add to the booking as a guest. If your platform cannot admit a guest, we create a Texliff room link and add it to the booking.

02What should we put in the booking notes for a hearing?

Add the file number, the names of the people on the link and any terms the hearing will use. The interpreter reads the notes before the session.

03Is an online public meeting recorded?

We do not record sessions unless you ask. Every session is covered by an NDA, and the connection is encrypted.

04What if the resident has no video?

Book the whole session by phone instead. Everyone dials in to the number in your confirmation, and nobody needs an app.

05How is a hearing by video priced?

The total for the hours you book shows before you pay. A hearing takes longer with an interpreter, so book through the end of the scheduled block.

06Which languages can a department book by video?

70 languages. Spanish, Mandarin, Vietnamese, Arabic, Russian and Haitian Creole are among the easiest to schedule, while languages such as Burmese or Pashto need more notice.

07Èske entèprèt Ouzbèk Texliff yo sètifye?

Wi. Entèprèt ouzbèk ki sètifye pou tribinal epi ki gen kalifikasyon medikal yo asiyen nan zafè legal ak klinik — Sètifikasyon Entèprèt Tribinal Federal, lis tribinal eta yo, CCHI / NBCMI pou medikal. Pou anviwònman kominote, edikasyon ak antrepriz nou bay entèprèt ki resevwa fòmasyon pwofesyonèl ki matche ak sijè a.
