Meetings we interpret
Employers book a video interpreter for these four kinds of HR meetings. The notes you add to the booking reach the interpreter before the meeting starts.
HR interviews the employee who raised a concern, the employee named in it, and any witnesses. Each interview can be its own session, and the interpreter keeps what they hear confidential.
HR and the manager explain the reason for a warning or another action, and the employee responds. Send the written notice with the booking, so the interpreter knows the terms before the meeting.
A manager goes over goals, results and next steps with an employee who speaks another language. The names of the sections on your review form help the interpreter prepare.
HR and the employee talk through a request for time off, a schedule change or a change in duties. The employee may describe a health condition, so the interpreter keeps it confidential.
HR meetings by video
HR meetings are usually held in person, in the HR office or a private room. They are held by video when the employee works at another site or from home, or when no interpreter for the language works near the employee. One meeting link is shared, and everyone joins from their own location, with the interpreter as a guest.
HR opens the call, leads it and explains the reason for the meeting. The employee answers HR's questions and asks their own. A manager joins when the meeting is about the employee's work. Some meetings also have a union representative or a witness, who join the same link from wherever they are. The interpreter joins as a guest and interprets for everyone who speaks.
The interpreter makes the meeting as clear for the employee as it is for everyone who speaks English. Each speaker talks in short parts, and the interpreter interprets every part in full, in both directions. The interpreter is neutral, working for neither HR nor the employee, and gives no advice or opinions.
Notes, then meeting
Add the names of everyone attending to the booking notes, with the written notice or policy the meeting is about and any terms HR will use. The interpreter reads the notes first and prepares those terms. HR may write up the meeting afterward, and because the interpreter speaks in the first person, the write-up holds the employee's own words. Texliff does not record the session unless you ask.
