Kinds of 504 plans
A 504 plan lists the changes a student needs in a general classroom, and the reason differs from child to child. Tell us the reason in the booking notes, so the interpreter knows which terms to prepare.
Diabetes, food allergies and seizure disorders often come with a health plan from the school nurse. The nurse often joins the meeting to explain it, and the interpreter interprets the names of medicines and the steps to follow.
For a student with ADHD, the meeting looks at what helps the child focus in class, such as seating or extra time on tests. The parent describes what works at home, and the interpreter interprets in both directions.
The counselor often joins when a student's anxiety affects school. The conversation is personal, so the interpreter interprets the parent's words as they are said and keeps everything private.
A broken leg or a recovery from surgery can lead to a short-term plan. The meeting is about what the student needs at school for a few weeks or months, such as elevator access or more time between classes.
Video 504 meetings
In a 504 meeting, the staff and the parent agree on the changes a student needs in class, and the meeting is often short. Video is chosen when the coordinator, the nurse or the parent joins from another place, or when no interpreter for the parent's language works near the school. The school sets the time, and the interpreter joins the same call as a guest.
The school's 504 coordinator opens the meeting and keeps track of what is agreed. The parent describes the child's needs and what works at home. Teachers say what they see in class, the school nurse joins when there is a health condition, and the counselor joins when feelings or behavior are involved. The interpreter stays on the call for every part.
The interpreter gives the parent the same plan the staff are discussing, in the parent's language. Accommodations, deadlines and the nurse's instructions are interpreted in full, and the parent's questions go back to the staff the same way. The interpreter is neutral, keeps the child's information private, and leaves it to the team to decide whether the plan is enough.

When a medical condition is behind the plan, send the names of the condition, the medicines and the health plan in the booking notes. The interpreter can then prepare the terms before the call. A plan for ADHD or anxiety needs no list, but a note on what the team wants to change helps the interpreter too.
