Video interpreters for employee onboarding, from orientation to benefits and first-day forms
Employers book a video interpreter for the parts of onboarding where new hires have to understand what they hear. Put the agenda in the booking notes so the interpreter knows the order.
Orientation presentations
The presenter introduces the company, the schedule and the rules for the first weeks. The presenter pauses after a few sentences, and the interpreter interprets each part for the new hires.
Benefits enrollment
HR explains the plan choices and the dates for choosing them, and new hires ask questions. The interpreter interprets the explanation and the questions, and does not recommend a plan.
Policy reviews
HR goes through the handbook, the safety rules and the code of conduct before new hires sign the handbook acknowledgment. Send the handbook with the booking, so the interpreter can prepare the terms.
First-day forms
HR explains how to complete forms such as the I-9 and the tax forms, and the interpreter interprets the explanation. The interpreter does not fill in forms or suggest answers.

What to know about onboarding by video with an interpreter
When video is used
New hires are usually onboarded in person, in an orientation room. Onboarding goes to video when new hires start at different locations or work from home, or when no interpreter for their language works near the group. HR sends one link, the presenter shares the slides on screen, and everyone joins from their own location, with the interpreter as a guest.
Who takes part
The presenter, usually from HR, leads the session and explains the company, the schedule and the policies. The new hires listen, ask questions and learn how to complete their forms. A supervisor may join to meet the team. The interpreter joins for the new hires' language, and one booking covers English and one other language.

The interpreter's role
The interpreter lets new hires follow the orientation the way an English speaker would. The presenter speaks a few sentences and pauses, and the interpreter interprets that part in full, so no policy, date or deadline is left out. When a new hire asks something, the interpreter puts the question to the presenter in English. The interpreter stays neutral, keeps what they hear confidential, and does not explain policies in their own words.

01Which platforms can the interpreter join for an orientation?
Zoom, Microsoft Teams and Google Meet, as a guest on your link, and the Texliff room, which opens in the browser without installing anything.
02How do we add the interpreter when the orientation uses breakout rooms?
The host moves the interpreter into the breakout room for the new hires who speak that language. Tell us in the booking notes if the session will use breakout rooms.
03Does the interpreter need our slides?
Slides and handouts help the interpreter prepare the terms for pay, benefits and safety rules. Add them to the booking in your dashboard before the session.
04Can the same interpreter join the next orientation?
You can ask for it in the booking notes. A booking is for the service, not for a particular interpreter, so we take the request into account and assign them when they are available.
05How should we plan the hours for an orientation by video?
The price follows the hours you book, and the total shows before you pay. Book time for the presentation, the questions and the forms, because unused time is not refunded.
06Which languages can you interpret for new hires?
70 languages. Spanish, Portuguese, Haitian Creole, Korean and Russian are the easiest to schedule. Rare languages need more notice.
