Varieties

On-site interpreters for HR meetings at HR offices, plant offices and branch locations

An HR meeting is held where the employer sets it. Here are the places our interpreters go, and what to tell us about each one.

HR offices

Many HR meetings are held in the HR office or a private meeting room. Tell us the floor and where visitors check in, and add the room to the booking notes.

Plant and site offices

Employers with plants, warehouses or job sites often hold the meeting in the site office. Tell us the gate or front desk where the interpreter checks in, and any visitor rules.

Branch locations

When an employee works at a branch away from the HR office, the meeting can be held at that branch. Book the address where the meeting takes place, and we look for interpreters closest to it.

In-person HR meetings

What to know about in-person HR meetings with an interpreter

When the interpreter comes in person

When the employee and HR meet in the same room, the interpreter sits with them and interprets in person. Employers book this for a disciplinary meeting, a review or an investigation interview held at their own site. If the interpreter has to travel beyond their metro area, the trip appears as a separate line in your quote before you pay.

Who takes part

The HR representative leads the meeting and explains why it was called. The employee responds to what HR raises and can ask questions. The manager sits in when the concern is about the job, and a union representative or a witness joins some meetings. The interpreter sits beside the employee, so the employee hears the whole meeting in their own language.

The interpreter's role

The interpreter's job is to let the employee follow the meeting the way an English speaker would. Each person speaks, pauses, and the interpreter interprets that part in full, in the first person, so the employee's own words reach HR. The interpreter is neutral, keeps what they hear confidential, and does not advise the employee or comment on company policy.

In the meeting

Employee speaksInterpretedHR notes

A record in the employee's words

HR often writes up the meeting afterward. The interpreter speaks in the first person, so the write-up holds what the employee said, not a summary of it. Everything said in the meeting stays confidential under the interpreter's NDA.

Presencial, por video o por teléfono

Choosing between on-site, video and phone for an HR meeting

An interpreter in the room suits meetings where the employee and HR sit together. Video or phone works when they are in different places.

Cómo funciona

How to book an on-site interpreter for an HR meeting

Enter the date, the start time, the address of the meeting and the employee's language. The price for the booked hours shows right away.

  2. Haga su pedido

Pay online to confirm. In your dashboard, add notes for the interpreter, such as the room, where visitors check in, parking and the names of those attending.

Our dispatcher looks for interpreters closest to the address first, assigns one who has interpreted HR meetings before, and confirms the name to you.

The interpreter arrives and checks in at the front desk or gate named in your notes. They sit beside the employee and interpret until the booked hours end.

Qué recibe

  • The interpreter's name, confirmed before the day, so the front desk can expect them.
  • Travel inside the interpreter's metro area at no extra charge, and any longer trip listed as its own line before you pay.
  • A confirmation in the dashboard and by email, with the room and check-in notes you added.

Preguntas frecuentes

Questions about on-site interpreters for HR meetings

01How does the interpreter get past the front desk or the gate?

Add the check-in steps, the room and any visitor rules to the booking notes in your dashboard. You get the interpreter's name before the day, so the front desk or security can expect them.

02Can we use the same interpreter for a follow-up meeting?

Name the interpreter in the booking notes. We book the service rather than a particular person, so we take the request into account and assign them when they are available.

03How many hours should we book for an HR meeting?

Book the whole meeting, including time for HR to explain what happens next. Everything HR and the employee say is interpreted, and unused time is not refunded, so the total for your hours shows before you pay.

04Which languages are easiest to schedule for HR meetings?

70 languages. Spanish, Mandarin, Vietnamese, Arabic, Haitian Creole and Korean are the easiest to schedule. A rare language, or a site far from a large city, needs more notice.

05How far ahead should we book?

At least 48 to 72 hours ahead, and earlier if you can.

06What if the meeting has to be moved?

Cancellation is in writing. You get a full refund more than seven days before the meeting, 75% between seven days and 48 hours before, and no refund in the last 48 hours.
