On-site interpreters for government agencies at hearing rooms, service counters and public meetings

Agencies book the address where a resident comes in, and each address is its own booking. Cards with a link lead to the in-person page for that session.

Agencies in person

What to know about in-person interpreters at a government agency

When in person is used

Residents come to a government agency for a hearing, a license appointment, a clinic visit or a public meeting, and an interpreter who sits beside them lets the visit run as it would in English. The interpreter comes to the address on the booking, which may be a hearing room, a counter or a facility. Agencies that receive federal funds must provide language help to the residents who need it, and an interpreter in the room fits a visit the resident makes to the office anyway.

Who takes part

The people in the room depend on the visit. A hearing officer runs a hearing and listens to the resident. Agency staff at the counter go through forms and answer questions. At a clinic or an exam office, a clinician or an examiner asks about the resident's health. The resident takes part in each one, and the interpreter sits next to them.

The interpreter's role

The interpreter's job is to give the resident the same access to the visit that an English speaker has. Everything the officer, the clerk or the clinician says reaches the resident in full, and every answer reaches the agency in the resident's own words, without summaries. The interpreter is neutral, keeps what they hear confidential, and does not tell the resident what to do or explain the agency's rules.

Addresses and check-in

An interpreter reports to one address, so a department that hears cases downtown and runs a counter at a branch office books each address as its own session. Add the room, the floor, the entrance and the check-in steps to each booking, so the interpreter reaches the right door. A meeting in two languages needs two bookings, one per language, at the same address.

Choosing between on-site, video and phone for agency sessions

An interpreter at the address fits a resident who comes in anyway. The other two settings suit the cases below.

Comment ça marche

How agencies book an on-site interpreter

  1. Indiquez vos besoins et obtenez votre devis instantané

Choose the date and start time, add the address of the office or hearing room, and name the resident's language and the kind of meeting. The price for the booked hours shows right away.

  2. Passez commande

Pay online to confirm. The booking opens in your dashboard, where staff add notes such as the room, the check-in steps and the case or file number.

  3. Le dispatcheur se lance et affecte un interprète

Our dispatcher looks for interpreters closest to the address first. A hearing gets a court-certified interpreter, a health visit gets a medically credentialed one, and other visits get one matched by experience. You get the name before the day.

  4. L'interprète arrive sur votre lieu

The interpreter arrives at the address, checks in as your notes describe, and interprets for the booked hours.

Ce que vous recevez

  • The interpreter's name before the day, so you can pass it to the front desk.
  • Travel inside the interpreter's metro area, with no added line in the quote.
  • A confirmation in your dashboard and by email for each booking.

Chaque fichier et chaque séance sont couverts par un NDA et transmis via une connexion chiffrée. Les dossiers cliniques sont traités conformément à la HIPAA.

FAQ

Questions from agencies about on-site interpreters

Celles que nous entendons le plus souvent, auxquelles répondent nos équipes de répartition et de gestion de projet.

Vous ne trouvez pas la réponse ?

01What if visitors have to sign in at a front desk?

Add the sign-in steps and a contact name to the booking notes. You get the interpreter's name before the day, so you can give it to the front desk.

02Can the interpreter go with an inspector from site to site?

No. The interpreter reports to one address per booking, so book each inspection as its own session. At a booked facility, the interpreter can walk through it with the inspector as the work requires.

03Can we ask for the same interpreter on every hearing day?

Name the interpreter in the booking notes. We book the service rather than a particular person, so we take the request into account and assign them when they are available.

04How is a hearing day priced?

The booked hours set the price, and the total shows before you pay. Book the whole block the hearing is scheduled for, because the interpreter is reserved for it and unused time is not refunded.

05How far ahead should we book?

At least 48 to 72 hours ahead, and earlier if you can.

06Which languages can a department book in person?

70 languages. Spanish, Mandarin, Vietnamese, Arabic, Russian and Korean are the easiest to schedule. Rare languages, such as Burmese or Pashto, and offices far from a large city need more notice.

07Vos interprètes en Indonésien sont-ils certifiés ?

Oui.
