Investigation interviews

HR interviews the employee who raised a concern, the employee named in it, and any witnesses. Each interview can be its own session, and the interpreter keeps what they hear confidential.

Disciplinary meetings

HR and the manager explain the reason for a warning or another action, and the employee responds. Send the written notice with the booking, so the interpreter knows the terms before the meeting.

Performance reviews

A manager goes over goals, results and next steps with an employee who speaks another language. The names of the sections on your review form help the interpreter prepare.

Accommodation requests

HR and the employee talk through a request for time off, a schedule change or a change in duties. The employee may describe a health condition, so the interpreter keeps it confidential.

What to know about HR meetings by video with an interpreter

When video is used

HR meetings are usually held in person, in the HR office or a private room. They are held by video when the employee works at another site or from home, or when no interpreter for the language works near the employee. One meeting link is shared, and everyone joins from their own location, with the interpreter as a guest.

Who takes part

HR opens the call, leads it and explains the reason for the meeting. The employee answers HR's questions and asks their own. A manager joins when the meeting is about the employee's work. Some meetings also have a union representative or a witness, who join the same link from wherever they are. The interpreter joins as a guest and interprets for everyone who speaks.

The interpreter's role

The interpreter makes the meeting as clear for the employee as it is for everyone who speaks English. Each speaker talks in short parts, and the interpreter interprets every part in full, in both directions. The interpreter is neutral, working for neither HR nor the employee, and gives no advice or opinions.

Before the meeting

The interpreter reads the notes first and prepares those terms. HR may write up the meeting afterward, and because the interpreter speaks in the first person, the write-up holds the employee's own words. Texliff does not record the session unless you ask.

02Can we interview two employees who speak the same language in one booking?

Yes. Book enough hours for both interviews and run them one after the other on the same link. An employee who speaks a different language needs a separate booking.

03Can a union representative or a witness join from another location?

Yes. Everyone joins the same link from wherever they are, and the interpreter interprets for each person who speaks. Add their names to the booking notes.

04What if the employee has no video or a weak connection?

Book a phone session for that meeting. Everyone dials in to the number in your confirmation from any phone.

05How is an HR meeting by video priced?

Video sessions are priced by the hour for the hours you book, with the total shown before you pay. Book time for the whole meeting, because every statement is interpreted in full and unused time is not refunded.

06Which languages can you interpret in HR meetings?

70 languages. Spanish, Mandarin, Russian, Korean, Arabic and Tagalog are the easiest to schedule. A rare language such as Burmese needs more notice.
